E-commerce review response templates and automation workflow
A good review response is specific, not generic. These templates are starting points to adapt — not copy-paste text, which readers recognise immediately.
Positive review (automatable)
Thank the reviewer by referencing the specific thing they mentioned — delivery speed, a particular feature, fit. "Thanks for the kind words!" with nothing else attached is where automation starts to look like automation.
Neutral review (draft, then human approval)
Acknowledge the specific gap they raised and state what you are doing about it, if anything. Avoid defensive language — a neutral reviewer is still persuadable.
Negative review alleging a defect (always human-approved)
Apologise specifically, state the concrete remedy you are offering, and take the resolution to a private channel. Never promise a refund or replacement in a public reply before your team has actually decided to offer one.
Deciding what to automate
Volume and stakes, not sentiment alone
A five-star review is low-stakes regardless of volume. A one-star review is high-stakes regardless of volume.
Start with the easiest 20%
Automate the clearly positive tier first, measure the response quality, then widen the scope.
FAQ
Should every review get a response?
Reviews that ask a question or raise a defect should always get one. Purely positive one-line reviews are lower priority but still worth a short, specific reply because it signals an active seller to future readers.
Can a template be too templated?
Yes — the moment a response could have been written for any product, the reviewer notices. Reference the actual item and the actual point raised, every time.
